Whitney Hood is the client-facing operational hub of Take Flight Business Solutions. As Client Services Coordinator, she makes sure every engagement starts on solid footing, runs on schedule, and closes cleanly—so Brian and the firm’s specialists can stay focused on the licensed work that moves your numbers forward.


One important protection you’ll notice right away: no bookkeeping, tax, or advisory work begins until your engagement agreement is fully signed and on file. Whitney owns that gate. It’s a simple step that protects you and the firm—and it means everyone knows exactly what they’ve agreed to deliver before the first transaction is touched.

Client Onboarding & Offboarding.

Whitney manages the full administrative lifecycle of every client relationship. She sets up your Canopy Tax portal, confirms your access, collects your signed engagement agreement, and walks you through your first-month timeline so the team is ready on day one. When an engagement closes, she confirms all final invoices are settled and formally offboards accounts from Canopy Tax, QuickBooks Online, and BizPayO—nothing left hanging.


Billing, Collections & Accounts Receivable.

Whitney owns the firm’s billing function end to end—invoicing, payment processing, collections, and accounts receivable tracking. No surprise statements. No ambiguity about what’s due or when.


Scheduling & Meeting Coordination.

Whitney schedules all client and prospect meetings, sends calendar invites, confirms attendance, and ensures Brian has the right context before every call. Meetings end with clear next steps—so you always know what happens next.


Email & Call Triage.

Every inbound email and call is routed by Whitney to the right specialist—bookkeeping, tax, or advisory. Your question reaches the correct person the first time, without you having to figure out who to ask.


Signature Coordination.

Whitney prepares and routes all e-signature packets through BizPayO, Canopy Tax and Encyro—engagement agreements, Form 8879 authorizations, and return approvals. She confirms identity, tracks completion, and files acknowledgements so nothing falls through the cracks.


Document Intake & Organization.

Keeps Canopy Tax folders organized and updated for each year, so your production team and specialists can find what they need fast.


Status Tracking & Issue Routing.

Whitney maintains an open-items list and follows up professionally so deadlines stay predictable. When something needs attention—an entry question, a deadline, an IRS notice—she logs it, routes it to the right specialist, and confirms next steps with you in plain English.


Sales Support.

Whitney supports Brian’s business development by following up with prospects, managing CRM tracking, and handling initial outreach coordination so no opportunity goes unanswered.
